Email Subscription Statuses
We have created three Subscription statuses in Keela to align with GDPR guidelines and recommendations:
- Opted In - This Contact has physically opted in to receive email communications from your Organization. This can be done by signing up via a Subscription Form or manually, by you or a team member, if the Contact has expressed this to you.
- Opted Out - This Contact has physically opted out of receiving email communications from your Organization. This can be done by using the Unsubscribe link in our Email Marketing Footers or manually, by you or a team member, if the Contact has expressed this to you.
- Unknown - Your Contact's email subscription status will be automatically set to "Unknown" when they are added to the Keela system without an email subscription status. This means that the Keela system has not received direction from either the Contact or your organization about what sort of status they should have (ie. Opted In or Opted Out).
If your Contacts have been newly added to the system, via import, manually or through a migration from our previous system, it is likely that their email subscription will be Unknown.
Important Note: As per GDPR guidelines, do not change the Email Subscription Status of your Contacts to "Opted In" unless you have received permission from them to do so.
Bulk Update Email Subscription Statuses
If you would like to update the email statuses of multiple Contacts at once, look no further! You can do this by using the Subscription Status tab tool, or a via Import.
Important Note: As per GDPR guidelines, do not change the Email Subscription Status of your Contacts to "Opted In" unless you have received permission from them to do so.
Subscription Status Tab
To update the Subscription Status of these Email Addresses > Navigate to Communications > Click on the Subscription Status tab.
Important note: emails will only end up under the Subscription Status tab f they meet at least one of the conditions below:
- The email subscription statuses were imported via Contact Import.
- The email subscription status was manually added when creating a Contact record.
- The email subscription statuses were synced into Keela from MailChimp.
- Email Marketing has been sent to the email address (every time you send Email Marketing, the recipient's email address and subscription status will be added to this list).
Hint: Use the Filter tool to narrow down your list by Subscription Status. For example, filter by "Unknown" status to see only those email addresses which are Unknown.
Multi-select email addresses on by one
If you would like to update a couple of email addresses, click on the multi-select tick boxes to choose these > Click Actions > Click Edit Subscription Status
Select the appropriate Subscription Status > Click Save
Multi-select all email address on a single page
If you would like to update all of the email addresses on a single page, click on the multi-select drop-down arrow > Click Select This Page
Select the appropriate Subscription Status > Click Save

Hint: Use the Filter tool to narrow down your list by Subscription Status. For example, filter by "Unknown" status to see only those email addresses which are Unknown.
If you would like to update all of the email addresses in your current list, click on the multi-select drop-down arrow > Click Select All Pages
Import Subscription Statuses
New Import
If the Contacts you want to update the Subscription Status for do not already exist in Keela - you can import Contacts' Email Subscription Statuses when you Import Your Contact Data. When you import Contacts, make sure to include the Accepted Field for 'Email Subscription Status' in your import spreadsheet.
Updated Import
If the Contacts you want to update the Subscription Status for already exist in Keela- you can Export the Contacts you want to update or create a list in Excel. Make sure the first column of the spreadsheet has either the Contact's Primary Email Address or Full Name - this is how Keela will search for the existing Contact record to update the Subscription Status. You will then want to add a Subscription Status column that specifies if the Contact is Opted In or Opted Out. Once your spreadsheet is prepared, you can go ahead and Import Your Updated Contact Data.
Filter by Email Subscription Status
Once you've gone through the steps of importing your Contacts you might want to take a look and see how the Subscription Statuses of your Contacts were recorded in Keela. You've come to the right place!
Segments / Contact Overview / Reports
If you want to filter your Contacts, Segments, or Reports based on Subscription Status, you're in luck! Subscription Status is available as a Contact Filter, which is included in any section in Keela with Contact Filters.
Subscription Statuses Tab Overview
In Keela's Email Marketing tool there is a Subscription Statuses tab where you can view, filter, and edit your Contact's email Subscription Statuses.
Please note that emails will end up under the Subscription Status tab only if they meet at least one of the conditions below:
- The email subscription statuses were imported via Contact Import.
- The email subscription status was manually added when creating a Contact record.
- The email subscription statuses were synced into Keela from MailChimp.
- Email Marketing has been sent to the email address (every time you send Email Marketing, the recipient's email address and subscription status will be added to this list).
To access this list, click on Communications in the sidebar > Click on the Subscription Status tab > Click on the Filters button
Click on the Add filter option > Select Status
Tip: There are two filters that you can use to narrow down your Subscription Status list:
- Email Address - Use this to search for a specific Email address in your list.
- Status - Use this to search for a specific subscription status (ie. Opted In, Opted Out, Unknown).
Select your Filter Type (discussed below) > Click Filter
There are five filter types that you can choose from that you can use to narrow down your list of Subscription Statuses:
Contains any of
This filter will narrow down your list to only show those Subscription Statuses that contain whatever option/s you choose here. You can choose one or more of the available statuses: Opted in, Opted Out, Unknown.
Eg. I want to see a full list of Contacts who have Opted In
Does not contain any of
This filter will narrow down your list to exclude those Subscription Statuses that contain whatever option/s you choose here. You can choose one or more of the available statuses: Opted in, Opted Out, Unknown.
Eg. I want to exclude those Contacts whose Subscription Status is Unknown
Matches Search Term
This filter will narrow down your list to only show those Subscription Statuses that contain whatever letters or search terms you enter here. This is a good option if you can't exactly remember what you are looking for.
Eg. I want to see a full list of Contacts who have Opted In, so I type "Opted". The list will be narrowed down to include those Contacts who are Opted In and those Contacts who are Opted out as both statuses match the search term.
Is empty
This filter is designed to show those Contacts who have nothing populated in a specific field. In this case, any Contact with an empty Subscription Field is automatically set to Unknown so there's no need to use this filter type here.
Is not empty
This filter is designed to show those Contacts who something (regardless of what it is) populated in a specific field. In this case, any Contact who doesn't have Opted In or Opted Out in this field will be automatically given the label of Unknown so there's no need to use this filter type here.
