Before you export your data from eTapestry, it's recommended that you familiarize yourself with both the Query and Report functions, as you’ll be building queries and loading those queries using reports in order to download the data to CSV files.
For the sake of this guide, we’ll be outlining the most commonly used modules in eTapestry: Accounts, which contains your general contact information, and Journals, containing all transaction (donation) data.
Accounts
Begin by creating a new ‘Query’,
- Under starting criteria, select the ‘Base’ category (be sure to verify that All Accounts is selected for Query)
- Under Data Return Type, ensure that ‘Accounts’ is selected
- To capture all contacts, for Criteria, select ‘Account Created Date > Custom Range’, and enter a range that includes the earliest date you began using eTapestry up until today’s date
- Save your query, and create a new report with the following fields selected (at minimum):
- Account Number
- Name
- Short Salutation
- Address
- City
- State
- Postal Code
- Phone - Fax
- Phone - Mobile
- Select ‘Save’ and run the report with the query you had saved in the previous step above
- Download the report as an Excel doc. (CSV)
Journal
Similarly to the process of beginning your Accounts export, create a new ‘Query’.
- Under starting criteria, select the ‘Base’ category (be sure to verify that ‘All Journal Entries’ is selected for Query)
- Under Data Return Type, ensure that ‘Journal Entries’ is selected
- To be sure that you are capturing all the data in your system, for Criteria, select ‘Journal Entry Date > Custom Range’, and enter a range that includes the earliest date that you began using eTapestry up until today’s date
- Save your query, and create a new report with the following recommended fields:
- Account Number
- Date
- Received
- Fund
- Approach
- Campaign
- Gift Type
- Note
- Select ‘Save’ and run the report with the query you had saved in the previous step above
- Download the report as an Excel doc. (CSV)
