Email Types
There are a few ways to send emails to your contacts via Keela:
- Direct Email - Send an email to one contact via their contact profile. More info here.
- Email Marketing - Send an email to multiple contacts via the Email Marketing tool
- Automated Emails - Keela will take care of this! Automated emails come in the form of email receipts, membership confirmations and membership renewals!
From/Sender Address in Keela
There are two options for your outgoing email address in Keela:
(1) Keela Provided Email Address
Every account will start with a Keela provided email address for every user and an organization-wide email address.
For example:
- Your Organization's Keela Email: Organization Name (organization-name@mx-usa-keela.co)
- Your Personal Keela Email: Your Name (your-name@mx-usa-keela.co)
(2) Your Own Email Address
If you complete the SendGrid Integration, your organization can use its own email addresses to send emails in Keela.
For example:
- Your Organization's Domain Email: Organization Name (info@yourorganization.org)
- Your Personal Domain Email: Your Name (your-name@yourorganization.org)
You must own your domain to complete the integration with SendGrid. If you don't own your domain (for example, your email address ends in @gmail.com) you will not be able to integrate with SendGrid. That's why we provide you a Keela.co address - so you can still use the email tools in Keela!
Receiving Email Replies in Keela
Now that we've gone over the addresses that you can send emails from in Keela, let's go over how you'll receive the replies.
Reply-To Address in Keela
When a contact replies to an email sent through Keela (either an Email Marketing or Direct Email), even if you've integrated your own domain via SendGrid, the reply address will always contain 'reply.' This is a requirement with Keela and makes sure any replies make it back into the system.
For example, info@reply.keela.co or info@reply.yourdomain.com
Notifications of New Emails in Keela
When you receive a reply to an email sent from Keela, your Keela Inbox will turn orange and you will receive a notification according to your personal preferences setup in Keela.
Where to Find Email Replies
(1) Your Keela Inbox
The message that you sent, and any replies, will appear in your Keela Inbox. Your inbox will turn orange to signify that you've received a new message and the unread message will be highlighted purple.
(2) The Contact Email tab
The message that you sent, and any replies, will also appear on that person's contact record, in the Email tab:
Email Preferences
Note that if you try to send an email to a contact whose Solicitation status is set to NO, you will receive a notification in the top right-hand corner (see below). You can manage a contact's email preferences under a contact's profile tab by changing the Solicitation status and/or Email Subscription Status.
Automated Email Replies & Assignees
Each contact can be "Assigned" to a specific user in Keela. Not only does this indicate that a particular user may be 'managing' this contact, but it also ties into any replies from an automated Keela email (email receipts, membership confirmations and membership renewals).
For example, if a contact replies back to an automated tax receipt, the contact's assignee will receive the reply notification. This is why it is very important that every Keela contact has an assignee - it ensures no email is missed by your organization!
Tracking emails in Keela from another platform
Not every email you send will be through Keela. That's why we've provided every Keela account unique BCC and FWD codes for tracking the emails in Keela for your records and safekeeping. For more information visit BCC/FWD Emails.
